Reignite Retreat – Terms & Conditions
Operated by Raquel Fitness LTD (RFL)
Please read these Terms & Conditions carefully before booking. By securing your place, you agree to the full conditions below.
1. Bookings
All bookings are made with Raquel Fitness LTD (RFL). By booking a retreat, you acknowledge that you have read, understood, and agreed to these Terms & Conditions. These Terms constitute the entire agreement between you and RFL.
2. Payments & Deposits
To confirm your booking, a £80 deposit per person is required.
This deposit is refundable for up to one week after the official retreat dates are released.
After this one-week period, deposits become non-refundable.
If your booking is made within 45 days of the retreat start date, the full retreat payment is required at the time of booking.
Once your booking is accepted, you will receive:
A confirmation email
Your retreat information pack
An invoice and payment schedule
Your remaining balance must be paid no later than 45 days prior to the retreat start date.
3. Retreat Price
The retreat price is secured once your deposit has been paid.
4. Cancellations
4.1 If You Cancel
Cancellation fees apply as follows:
Before 1st December 2024: All money refunded except the deposit.
1st December 2024 – 7th February 2025: Deposit retained + 50% of the balance paid to date.
After 8th February 2025: Deposit retained + 100% of the balance paid to date.
If you leave the retreat early for any reason, no refund will be issued for the unused portion.
4.2 If RFL Cancels
RFL may cancel the retreat if:
Fewer than 12 attendees are confirmed by 1st December;
A Force Majeure event occurs; or
Any other circumstance beyond RFL’s reasonable control makes the retreat unviable.
If RFL cancels, you will be offered either:
A transfer to an alternative retreat date, or
A full refund of all payments made to RFL.
Important:
If the retreat is cancelled due to low numbers, RFL takes no responsibility for flights, travel arrangements, accommodation, or any related costs. Travel insurance should cover this scenario.
5. Amending Your Booking
You may transfer to another retreat or transfer your booking to another person if:
You request the change in writing at least 45 days before the retreat start date, and
A £50 transfer fee is paid.
6. Venue
Unless otherwise stated, all retreats take place at Sands Beach Resort.
"Venue" includes all accommodation, facilities, training spaces, equipment, and areas used for optional activities. The venue is owned and operated by a third party (“Venue Owner”).
7. What’s Included
Your retreat price includes:
Accommodation
Airport transfers*
Welcome drink
All scheduled training sessions
Half-board meals
Kayaking
Paddleboarding
Mountain biking
Hiking
Swimming (beach & pool)
*Airport transfers are guaranteed only if the recommended flights are booked. Please inform us if you are not using them.
8. Additional Charges
Optional extras such as massage therapy and private 1:1 coaching are available at additional cost (details provided in your retreat information pack).
9. Age & Health Requirements
All attendees must be 18+ at the retreat start date.
Guests under 18 may attend with a parent or guardian, who accepts full responsibility for the minor.
There is no upper age limit, but attendees must be fit to participate in the fitness sessions and physical activities.
10. Passports & Visas
You are responsible for ensuring you have correct passport and visa documentation for Spain. RFL is not liable if you are denied entry.
11. Travel Insurance
You must obtain suitable travel insurance before attending the retreat.
Your policy must cover:
Personal accident
Death
Medical expenses
Emergency repatriation
Recommended minimum coverage: £200,000
We strongly recommend adding:
Trip cancellation
Curtailment
Personal liability
Loss of luggage or personal items
Bring your insurance policy details and emergency contact number with you.
12. Authority
Each retreat has a designated Retreat Director. Their decisions regarding safety and wellbeing are final. Failure to comply may result in removal from the retreat without refund.
13. Conduct
Attendees must avoid:
Illegal behaviour
Offensive or disruptive conduct
Damaging venue property
Such behaviour may result in immediate removal with no refund.
14. Risk Waiver
Participation in training sessions and optional activities carries inherent risk. By booking, you accept full responsibility for your own participation and safety.
15. Limitation of Liability
RFL is not liable for loss or damage due to:
Your own actions
Third parties unrelated to the retreat
Unavoidable or extraordinary circumstances
Transport delays, missed flights, or travel disruptions
RFL and the Venue Owner are not responsible for loss or damage to personal property unless caused by negligence.
Nothing excludes RFL’s liability for death or personal injury caused by negligence.
16. Complaints Procedure
Any issues must be reported to the Retreat Director as soon as possible, and no later than 7 days after the retreat ends. Failure to do so may remove your right to further action.
17. Media Consent
Photography and video may be taken during the retreat for marketing purposes. By attending, you grant RFL permission to use this content.
If you have concerns, inform the Retreat Director.
18. Medical Assistance
RFL will provide reasonable assistance with accessing medical services if required.
Please ensure you have:
An EHIC/GHIC card
Valid travel insurance
19. Privacy
Your personal data will be handled according to GDPR practices and RFL’s internal privacy procedures.
20. Financial Protection
All retreat payments are secured in accordance with the Package Travel and Linked Travel Arrangements Regulations, ensuring your money is protected in the event of insolvency.
21. Force Majeure
RFL is not liable for events beyond its reasonable control, including:
Terrorism
Civil unrest
Disease outbreaks
Natural disasters
War
Extreme weather
Any circumstance making travel or operation unsafe or impossible
22. Governing Law
These Terms & Conditions are governed by English and Welsh law. Any disputes shall be handled by the courts of England and Wales.
